Payroll Coordinator

Taboo Muskoka is hiring a seasonal Payroll Coordinator for the 2024 season! The Payroll Coordinator is responsible for the efficient processing of payroll, ensuring that employees are paid accurately, on time and in accordance with government legislation and company policies.

KEY RESPONSIBILITIES

Responsible for the day-to-day duties of the department including:

  • Compile, prepare and process payrolls for all hourly and salaried employees.
    Ensure integrity, consistency, and reliability by inputting data accurately and completely.
    Process new hires, terminations, changes to pay and any other related information.
    Follow up with employees on missing paperwork, incomplete policy/documentation signoffs and training.
    Help employees complete all paperwork necessary in hiring process, tax forms and benefits forms, direct deposit through Dayforce.
    Responsible for maintaining a high degree of confidentiality relative to personal data, salary data and associate benefits information.
    Provide timely response to inquiries from HR, Accounting, managers, employees, government, and other third-party agencies, utilizing knowledge and interpretation of policies, procedures, and legislation.
    Providing customer service and guidance to employees with respect to pay, group benefits, ROE’s and T4’s.
    Process benefits, RRSP/DPSP enrolments and benefits terminations; submit information to related third parties.
    Issue ROEs and respond to payroll and/or benefits related enquiries.
    Prepare, post and reconcile payroll journal entries after each payroll, quarterly and annually.
    Review monthly group insurance invoices to ensure accuracy.
    Assist in the preparation and review of all year-end payroll related documentation T4s, T2200.
    Generate ad-hoc payroll reports as requested.
    When necessary, assist HR Business Partner with creation of employment agreements, offer letters, and sending & receiving new hire paperwork (entry into payroll system covered below)
    Assist with coordination of new hire experience including onboarding; room set up, sign in/tracking, assist with presentation, welcome pictures taken and announcements, new hire paperwork completion, uniform agreements etc.
    Assist with monitoring, tracking and reporting on master records and employee files: set up new hires, terminations, transfers, promotions, absences and other details related to employees.
    Filing, copying all documentation and file audits.
    Act as resort ambassador to provide a friendly, welcoming attitude and high level of customer service to our fellow employees.
    Assist with E-file Record of Employment Forms and distribute to staff upon departure.
    Responsible for responding to payroll inquiries such as employment letters, EI requests/questions, pay discrepancies etc.
    Assists with internal and government audits.
    Assist with the processing of gratuity and cash tip outs to be deposited through payroll.
    Confirm and process all garnishee payments with courts/family services etc.
    Validate new employees are set up correctly on Dayforce and follow up on any workforce management issues (i.e employees not clocking in/out or managers not authorizing time) that affect accurate payroll processing.
    Other duties as assigned.

EDUCATION AND EXPERIENCE (Education, Experience, Knowledge & Skills)

  • Payroll accounting experience an asset
    Dayforce knowledge and experience an asset
    Canadian payroll experience an asset
    Understanding of Canadian payroll legislation, ESA
    Strong attention to detail and proven ability to take initiative, make independent decisions, exercise sound judgment, develop creative solutions and meet deadlines.
    Exemplary written spoken communication skills.
    Outstanding interpersonal relationship building skills.
    Ability to maintain a positive, professional, diplomatic and calm demeanor in situations of conflict or difficulty.
    Excellent computer skills Microsoft Word, Excel, Outlook, PowerPoint, and Internet.

PHYSICAL REQUIREMENTS

  • Sitting at computer 90% of the time
    Ability to walk around resort to meet with staff on regular basis, deliver and pick up mail/paperwork
    Ability to lift and carry up to 25 pounds (for moving boxes of files if necessary)
