Job Summary:

 

The HR Coordinator will be responsible for performing a range of general HR administrative and coordination responsibilities. The successful candidate will provide top-notch Human Resources services and support to employees of all entities under the Great Gulf Group of Companies.

 

Key Responsibilities:

 

 

Employee Relations

 

  • Promote a positive, inclusive work environment and promote company core values
  • Respond to general inquiries and resolve issues in a timely manner and in accordance with legislation and company policies and procedures
  • Collaborate with the HR team to support HR initiatives, policies and procedures aligned with the overall business strategy
  • Sit in on employee investigations/coaching meetings as needed
  • Respond to employee inquiries daily 

Health And Safety 
 

  • Participate in H&S meetings, take minutes, follow up on action items and outstanding H&S issues
  • Ensure monthly workplace inspection report is completed and submitted
  • Complete Form 7 and prepare Functional Abilities Form for employees with a workplace related injury
  • Assist with preparing a return-to-work program and provide documentation to an employee with a workplace related injury
  • Ensure usage of PPE and safety equipment as required
  • Knowledge of and compliance with safety policy and other health and safety regulations
  • Report all accidents, injuries, and illnesses immediately
  • Report all unsafe acts or unsafe conditions and workplace hazards
  • Provide Health and Safety Training for new hires
  • Ensure health and safety records are up to date and organized for all health and safety matters
Recruitment & Onboarding 
  • Assist with the recruitment process, including posting job ads, responding to candidates, conducting phone screens, initiating background checks, preparing employment agreements, and responding to unsuccessful candidates
  • Ensure new hire paperwork is sent to successful candidates and accurately entered into Ceridian Dayforce
  • Participate in various government recruiting programs; coordinate with agencies as directed and provide the required documentation to participate in the programs
  • Assist with the coordination of all aspects of the co-op student program, including liaising with post-secondary institutions and hiring managers
  • Assist with new hire IT tickets
  • Prepare onboarding packages for all new hires
  • Follow up with employees on missing paperwork, incomplete policy/documentation signoffs and training tracking and reporting
  • Coordinate new hire experience, including room set up, sign in/tracking, welcome photos, draft new hire announcements, ensure uniform agreements are signed, and co-ordinate 30-, 60-, 90-day check ins
  • Assist with coordination of Staff Housing onboarding, including sign in/tracking, assist with presentation/questions, paperwork, move in and outs, housing deposits and payments
  • Assist with staff property tour, as necessary
  • Assist with creating job posters and other HR marketing materials as needed
  • Assist with employee engagement initiatives and communications (i.e., staff parties, orientation sessions, etc.)

   Administration 

  • Perform various administrative functions, reports, and memos as assigned
  • Process and coordinate all new hires, terminations, promotions, and transfers with Payroll
  • Become familiar with and knowledgeable of the company’s HRIS (Ceridian Dayforce)
  • Assist with HR Staff Communications
  • Assist with the preparation of employment letters and other required documents
  • Maintain organizational charts in MS Visio
  • Ensure employee files and records are maintained in accordance with legal requirements and company policies and procedures.
  • Assist with all offboarding activities including, but not limited to, acknowledging resignations, scheduling and completing exit interviews, arranging for the return of company equipment and property, submitting termination IT ticket

Skills & Qualifications:   

  • Post-secondary degree or diploma in Human Resource Management or relevant equivalent experience
  • Exceptional organizational skills, time management skills and the ability to multi-task
  • Self-starter who enjoys taking initiative with an ability to prioritize and adapt easily to change
  • Positive, professional disposition and flexibility to handle regular interruptions and unexpected changes to workflow
  • Ability to handle confidential material with tact and respect
  • Proficient in MS Word, Excel, Outlook and PowerPoint
  • Experience with Ceridian Dayforce is considered an asset
  • Excellent oral and written communication skills
  • Ability to work well both independently and with others in a team setting
  • Experience with managing multiple stakeholders
