Occasionally, dependent on business need to effectively support assigned client groups

 

SUMMARY

 

The People and Culture Generalist plays an integral role within the Human Resource department’s effective operation.  Reporting to the Sr. Director, Human Resources, this position provides support to all members of the Human Resources Department and all functions of Human Resources.   The People and Culture Generalist will support all facets of HR, including but not limited to, employee relations, recruitment, onboarding and off boarding, file maintenance, health and safety, reward & recognition, learning & development, and the overall employee experience.

 

KEY RESPONSIBILITIES

Assist in the day-to-day duties of the Human Resources department including:

  • Assist in talent acquisition and recruitment processes including development of job ads, posting, responding to candidates, pre-screening, reference and/or background checks using Mintz Global Screening, responding to inquiries.
  • Monitoring, track, and report on status of recruitment, candidate pool, filled positions and paperwork completed/outstanding.
  • In collaboration with HR team, continuously update and ensure all job descriptions are current using the standard template and positions are set up in Dayforce correctly (ensure attached to the correct WSIB code).
  • Assist with offer letters, drafting employment agreements, sending & receiving new hire paperwork, and entering new hire information into Dayforce.
  • Follow up with employees on missing paperwork, policy and other documentation signoff.
  • Onboarding and ‘Stay’ activities – conduct and assist Business Partners with onboarding and stay interviews for employees.  Including, but not limited to room set up (if in person), sign in/tracking, assist with presentation, welcome pictures taken and announcements, new hire paperwork completion meeting one on one, issuing of on-line survey and/or development of other methods for receiving feedback and checking in.
  • Assist with all offboarding activities including, but not limited to, acknowledging resignations, scheduling and completing exit interviews, arranging for the return of company equipment and property, submitting termination IT ticket.
  • Assist with staff property tours when necessary.
  • Participate in H&S meetings when required, take minutes, follow up on action items and outstanding H&S issues.
  • Assist with employee engagement initiatives and communications where needed.
  • Assist in the development and implementation of human resource policies and procedures.
  • Assist with staff communication including identifying and providing input into “Great Times” (Great Gulf newsletter)
  • Act as a resource for all Human Resources inquiries from all employees and support for all members of the Human Resources team.
  • Assist in elevating the quality of HR services and support by identifying and making processes improvement recommendations.
  • Stay apprised of all applicable employment legislation and make recommendations regarding revisions to policies and processes to ensure we are legally compliant.
  • In partnership with the HR Team, review, research, create and implement new HR policies and procedures.
  • Perform various administrative functions, reports, and memos as assigned.
  • Assist with processing and coordinating new hires, terminations, promotions, and transfers with Dayforce as needed.
  • Ensure employee files and records are maintained in accordance with legal requirements and company policies and procedures.
  • Other duties as assigned.

 

COMMUNICATION/INFLUENCING OTHERS (Contacts)

 

Communicates with employees, management, outside third parties and other professionals via telephone, written correspondence, emails, and verbal methods. Advises managers and staff on HR related policies and processes. Advises staff about payroll and benefits program. Prepare reports containing data to support business operations. Maintains confidential communication with team members and management.  Conducts staff wide orientation sessions.

 

CUSTOMER SERVICE

Customers include, but are not limited to all employees, hiring managers, department heads, executive team, prospective job seekers, active candidates, recruitment agency partners, and post-secondary institution partners.

 

EDUCATION AND EXPERIENCE (Education, Experience, Knowledge & Skills)

 

  • Post-secondary education with Human Resources an asset.
  • Strong knowledge of Employment Standards Act.
  • 1-3 years’ operational experience in both a Human Resources and Payroll/Benefits environment.
  • Exemplary written spoken communication skills.
  • Excellent decision-making skills.
  • Outstanding interpersonal relationship building skills.
  • Team player who fits into Corporate culture.
  • Meticulous attention to detail.
  • Ability to maintain a positive, professional, diplomatic, and calm demeanor in situations of conflict or difficulty.
  • Excellent computer skills Microsoft Word, Excel, Outlook, PowerPoint, Publisher, and Internet

 

SUPERVISION & BUDGET AUTHORITY

 

  • No supervisory or budgetary responsibility.
  • May be asked to provide input into the Human Resources budget and estimates related to activities involved in.

 

PHYSICAL ENVIRONMENT

 

  • Indoors in a shared office space.
  • Depending on client groups and to fully understand working conditions of all vacancies they are recruiting for, may require outside, walking in resort, golf, construction, manufacturing, or other environment.
  • Wear appropriate uniform, personal protective equipment as required

 

PHYSICAL REQUIREMENTS

 

  • Ability to sit and operate a computer for long periods of time.
  • Ability to walk around to meet with staff on a regular basis and visit clients at their location if supporting client group outside physical work location.
